Toolbars


Toolbar, Menu


  • The Menu toolbar is at the top of the screen with a descriptive word on each button.

Toolbar, Standard


  • The Standard toolbar has icons and is below the Menu toolbar.

Toolbar, Formatting


  • The Formatting toolbar shows formatting information and is below the Standard toolbar.

Toolbar, Title Bar


  • The title bar is across the top of a document.

Toolbar, Menu


  • The Menu toolbar is at the top of the screen with a descriptive word on each button.

Toolbar, Task Bar


  • The task bar is across the bottom of the screen. It has the Start button at the far left.

Toolbar, selecting


  • To view and select toolbars, click View on the Menu toolbar; click Toolbars; click the toolbars you want to see. Those that are already in use are shown with a checkmark to the left of them.

Windows Basics


Program, starting a program


  • Click Start.
  • Click Programs.
  • Click the application you wish to start.

Menu Command, selecting


  • Click Start.
  • Click Programs.
  • Click the application you wish to start, for example, Word.
  • Click File in the menu bar.
  • Click Open.
  • Double-click the Word document you wish to see.

Toolbars


  • Move the cursor over a button on a toolbar to see the description of it.
  • You can drag a toolbar to a different location on the screen by placing the cursor over the two vertical bars on the left side of the toolbar and drag it.

Shortcut Menus


  • Enter a word into a document.
  • Double-click it to select it.
  • Right-click on the word to get a shortcut menu.
  • You can click one of the options listed in the menu.
  • To close the menu without executing any of the commands in it, move the cursor outside of the menu box and click.

Help


  • Click the Office Assistant button on the Standard toolbar. The button has a question mark in it.
  • In the text box, type the name of the item you want help for.
  • Click Search to see a list of topics.
  • Click the topic you want information on.

Switching Between Open Programs


  • When there are two open programs, each will have a button on the taskbar at the bottom of the screen.
  • To make the other program active, click on the taskbar button for it.

Program exiting


  • Click File.
  • Click Exit.
  • Or
  • Click the "X" at the upper right corner of the application panel.
  • Or
  • Click the application icon at the upper left corner of the application panel.
  • Click Close.

Microsoft Word


Word, starting it


  • Click File.
  • Click Start.
  • Click Programs.
  • Click Microsoft Office (if Microsoft Word is listed, click it).
  • Click Microsoft Word.

Text entry


  • The Enter key begins a new paragraph.
  • Microsoft Word automatically wraps sentences when the right margin is reached.
  • The insert key flip-flops between Insert Mode in which text to the right of the cursor is moved as new text is entered, and Overtype Mode which causes new text to overlay existing text to the right of it.

Moving Around a Document by Using the Keyboard


  • Move the cursor right one character: press right arrow key
  • Move the cursor left one character: press left arrow key Move the cursor up one line: press up arrow key Move the cursor down one line: press down arrow key Move the cursor to the previous word: press Ctrl + left arrow key Move the cursor to the next word: press Ctrl + right arrow key Move the cursor to the beginning of the line: press Home key Move the cursor to the end of the line: press End key Move the cursor to the start of the document: press Ctrl + Home key Move the cursor to the end of the document: press Ctrl + End key

Saving a Document


  • Click the Save button on the standard toolbar.
  • In the dialog box, enter the name of the file you wish.
  • Click Save.

Closing a Document


  • Click Close.
  • If the document has not been saved, the application will ask if you want to save your changes.

Document, creating a new document


  • Click the New button on the standard toolbar. It looks like a blank sheet of paper.

Document, opening an existing document


  • Click the Open button on the standard toolbar.
  • Click the name of the file you wish to open.
  • Click Open.
  • Also, you can double-click the name of the file without clicking Open.

Documents, switching between


  • Click Window button on the menu bar.
  • Click the name of the document you wish to switch to. The maximum number of documents that can be shown is 9.

Documents, viewing multiple documents


  • Click the Window menu item.
  • Click Arrange All.
  • Click the Title Bar of the document you want to see.

Viewing only one Document


  • Double-click the title bar of the document you want to see.

Document view, changing it


  • Click View on the menu toolbar.
  • Click the Normal button in the drop-down box to go back to the normal view of the document.
  • Click the Online Layout button in the drop-down box to see the online view of the document. It optimizes the layout to make online reading easier.
  • Click Page Layout button in the drop-down box to see the page layout view of the document.

Document view, changing it


  • Click View on the menu toolbar.
  • Click the Normal button in the drop-down box to go back to the normal view of the document.
  • Click the Online Layout button in the drop-down box to see the online view of the document. It optimizes the layout to make online reading easier.
  • Click Page Layout button in the drop-down box to see the page layout view of the document.
  • Click the Outline button in the drop-down box to see the outline view of the document. This view shows the document structure.
  • Click the Master Document button to organize and maintain a long document.
  • Or, the buttons on the lower left of the screen can show the views, as follows:
  • Click the Normal View button on the lower left of the screen to go back to the normal view.
  • Click Online View button to see the online view of the document. This is the second button from the left on the lower left of the screen. It optimizes the layout to make online reading easier.
  • Click the Page Layout View button to see the page layout view of the document. This is the third button from the left on the lower left of the screen.
  • Click the Outline View button to see the outline view of the document. This is the fourth button from the left on the lower left of the screen. This view shows the document structure.

Text Operations


Text, inserting text


  • Click the location where you wish to insert text.
  • Enter the text you wish.
  • Press the Enter key.

Text, selecting text


  • Click at the beginning or ending of the text you want to select.
  • Click and hold the left mouse button and drag the cursor across the word(s) to be selected.
  • Release the mouse button.

Word, selecting a word


  • Double-click the word.

Paragraph, selecting a paragraph


  • Triple-click in the paragraph.

Text, selecting all text


  • Press Ctrl + A.

Copying and Pasting Text


  • Select the text you wish to copy.
  • Click the Copy button on the standard toolbar or press Ctrl + C.
  • Click where you want to copy the text.
  • Click the Paste button on the standard toolbar or press Ctrl + V.

Cutting and Pasting Text


  • Select the text you wish to move.
  • Click the Cut button on the standard toolbar or press Ctrl + X.
  • Click where you want to copy the text.
  • Click the Paste button on the standard toolbar or press Ctrl + V.

Undoing and Redoing Changes


  • Click the Undo button on the standard toolbar to undo a change. The undo button looks like a curved arrow pointing to the left.
  • Click the Redo button on the standard toolbar to put a change back into the document. The redo button looks like a curved arrow pointing to the right.

Text, deleting


  • Select the text to be deleted.
  • Press the Delete key.

Text, overwriting


  • Select the text you want to replace.
  • Type the text you want to be in place of the selected text.

Text, finding


  • Click Edit on the menu bar.
  • Click Find.
  • Enter the text you want to find in the box.
  • Click Next.

Text, replacing


  • Click Edit on the menu bar.
  • Click Replace.
  • Enter the text you want to find and replace in the first box.
  • Enter the text you want to replace it with in the second box.
  • Click Find, Replace, or Replace All, depending on your wishes.

Text, moving


  • Select the text you want to move.
  • Press and hold the left mouse button over the selected text and drag it to where you want to place it.
  • Release the left mouse button.

Spelling, Grammar, and Tracking Changes


Spelling, checking


    Grammar, checking


    • Click the Spelling and Grammar button on the standard toolbar. The button has "ABC" above a check mark.
    • Make selections for correcting the text.

    Thesaurus


    • Click Tools on the menu toolbar at the top of the screen.
    • Click Language in the drop down box.
    • Click Thesaurus to find a synonym.

    Tracking Changes


    • Right click the grayed out TRK button on the status bar at the bottom of the screen. TRK stands for "Track Changes".
    • Click Track Changes.
    • Any changes to the document will be shown in a different color, underlined, and flagged by a vertical bar in the margin. Placing the cursor over a revision mark shows the name of the person who made the change.

    Tracking, turning off tracking


    • Double-click TRK on the status bar at the bottom of the screen.

    Changes, accepting and rejecting


    • Right click the grayed out TRK button on the status bar at the bottom of the screen. TRK stands for "Track Changes".
    • Click Accept or Reject Changes option on the pull-down menu.
    • Click Find in the Accept or Reject Changes pull-down box. This will cause the first tracked change to be highlighted.
    • To accept the change, click the Accept button twice.
    • Click Reject to reject a change.
