Toolbars
Toolbar, Menu
- The Menu toolbar is at the top of the screen with a descriptive word on each button.
Toolbar, Standard
- The Standard toolbar has icons and is below the Menu toolbar.
Toolbar, Formatting
- The Formatting toolbar shows formatting information such as font and type size and is below the Standard toolbar.
Toolbar, Title Bar
- The title bar is across the top of a document.
Toolbar, Task Bar
- The task bar is across the bottom of the screen. It has the Start button at the far left.
Toolbar, Task Bar
- The status bar is across the bottom of the screen, just above the task bar.
Toolbar, Outline Bar
- The vertical tool bar at the left of the screen.
Toolbars, selecting toolbars
- To view and select toolbars:
- Click View on the Menu toolbar
- Click Toolbars
- Click the toolbars you want to see. Those that are already in use are shown with a checkmark to the left of them.
Windows Basics
Starting a Program
- Click Start.
- Click Programs.
- Click the application you wish to start.
Application, starting from Menu bar
- Click Start.
- Click Programs.
- Click the application you wish to start, for example, Word.
- Click File in the menu bar.
- Click Open.
- Double-click the Word document you wish to see.
Toolbars
- Move the cursor over a button on a toolbar to see the description of it.
- You can drag a toolbar to a different location on the screen by placing the cursor over the two vertical bars on the left side of the toolbar and drag it.
Help
- Click the Office Assistant button on the Standard toolbar. The button has a question mark in it.
- In the text box, type the name of the item you want help for.
- Click Search to see a list of topics.
- Click the topic you want information on.
PowerPoint Basics
Powerpoint, starting
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Or
- In Windows Explorer, you can double-click a PowerPoint file.
Blank Presentation
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click the Blank Presentation in the PowerPoint box.
- Click OK.
- Click the Blank slide in the Choose an AutoLayout area.
- Click OK.
AutoContent Presentation
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- This uses the AutoContent Wizard to create a prototype presentation when you don't have an approach worked out.
- Click AutoContent wizard.
- Click OK.
- Click Next.
- Click the type of presentation desired.
- Click Next.
- Click Presentations.
- Click informal meetings.
- Click handouts.
- Click Next.
- Click On-screen presentation in the Presentation style options box.
- Click Yes to print handouts.
- Click Next.
- Enter Presentation title.
- Enter Your name.
- Enter Additional information.
- Click Finish.
Template Presentation
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click Template.
- Click OK.
- Click a selected template from the Presentation Designs tab.
- Click OK.
- Click the type of slide in the Choose an AutoLayout selection area.
- Click OK.
Outline View
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click Outline View button in the lower-left of the presentation area.
- Click the Collapse button on the Outline toolbar. The Outline toolbar is usually the vertical bar at the left of the screen.
- Move the cursor to one of the slides and click the mouse when the cursor becomes a four-pointed arrow.
- Click the Expand button on the Outline toolbar.
- Click on a slide and make any changes desired.
- Press Enter.
- Click the Demote button on the Outline toolbar to arrange one slide to be beneath another.
Views, working in different views
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click the Slide Sorter View button to rearrange the slides.
- Click the Slide View button. You can add text and art to a slide.
- Click the Notes Pages View button to enter speaker notes.
- Click the Slide Show button to view the slides.
- Press the Esc key to exit the slide show.
Saving a Presentation
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click the Save button on the standard toolbar.
Closing a Presentation
- Click the Close button on the title bar. It is the button in the upper right with the "X" on it.
- Or
- Press Ctrl + F4.
Creating a New Presentation
- Click the Start button on the left side of the task bar at the bottom of the screen.
- Click Programs.
- Click Microsoft PowerPoint.
- Click the New button on the standard toolbar.
- Double-click the type of slide desired in the Choose an AutoLayout area.
Opening a Presentation
- Click the Open button on the standard toolbar.
- Click the file you wish to open.
- Click the Open button.
Text, adding to a slide
- Click the Text Box button on the Drawing toolbar. The button looks like a page of paper with text on it.
- Click the cursor on the slide where you want to begin adding text.
- Move the cursor to the lower-right corner of the text box. Click when the cursor becomes a two-headed arrow.
- Drag the text box to the desired size.
Text, formatting
- Select the text to be formatted.
- Click the down arrow to the right of the font box.
- Click on the desired font.
- Click the Increase Font Size button to increase the size. This button looks like a large letter "A" with a up arrow to the right of it.
- Click the Decrease Font Size button to decrease the size. This button looks like a small letter "A" with a down arrow to the right of it.
- Click an Alignment button to position the text, as desired. The alignment buttons look like pages with their text positioned in the way that the button
works.
Clip Art
- Click the Insert Clip Art button the the standard toolbar.
- Click the desired clip art.
- Click the Insert button on the menu bar.
Word Table insertion
- Click the Insert Microsoft Word Table button on the standard toolbar.
- Click and drag the cursor over the rows and columns to be inserted.
- Enter text into the table.
Excel Worksheet insertion
- Click the Insert Microsoft Excel Worksheet button on the standard toolbar.
- Click and drag the cursor over the rows and columns to be inserted.
- Enter text into the table.
Chart insertion
- Click the Insert Chart button on the standard toolbar.
- Click the cell where the chart is to be placed.
- Press the Delete button.
Resizing Objects
- Click on the object you wish to resize.
- Click the cursor on one of the handles to on the object and drag the cursor to the size you wish.
Moving Objects
- Click and hold the mouse button on the object you wish to move.
- Drag the cursor to place the object where you want it to be.
Adding Slides
- Click the New Slide button on the standard toolbar.
- Double-click the type of slide you desire.
- Click the Slide sorter View button to see the added slide.
Slide Layout, changing
- Click the Slide Layout button on the standard toolbar.
- Double-click the type of slide you desire.
- Click the Slide sorter View button to see the added slide.
Slide Design, changing
- Click the Apply Design button on the standard toolbar.
- Click the desired design.
- Click Apply.
Reordering Slides
- Click the Slide Sorter View button.
- Click on the slide and drag it to the desired place.
Enhancing PowerPoint Presentations
Animation Effects
- Click the object you want to add animation to.
- Click the Animation Effects button on the formatting toolbar.
- Click the desired effect.
- Click the Slide Show View button to view the effect.
- Press the Esc button to return to slide view.
Transitions from slide to slide
- Click Slide Show.
- Click Slide Transition.
- Click the Effect down arrow.
- Click the desired transition.
- Click Apply to All unless you wish to apply it to only selected slides.
- Click the Slide Show View button to view the transition effect.
- Press the Esc button to return to slide view.
Action Buttons
- Click Slide Show.
- Click Action Buttons.
- Click Sound.
- Click and hold the mouse button and drag the action button to the desired location.
- Click Yes to save the presentation.
- Click the Play Sound list box.
- Click the desired sound.
- Click OK.
- Click the slide show View button to see the effect.
- Click the Action Button to see how the action works.
- Press the Esc button to return to slide view.
Speaker Notes
- Click Notes Page View on the View toolbar.
- Click the Zoom down arrow on the standard toolbar.
- Select 100 percent.
- Click in the notes area and enter your notes.
Viewing the Slide Show
- Click the Slide Show View button on the View toolbar.
- Press the Spacebar to display the next slide.
- Press Esc key to stop the slide show at any time.
Preparing the Presentation for Another Computer
- Open the presentation.
- Click File on the menu toolbar.
- Click Pack and Go.
- Click Next.
- Click the Active presentation option.
- Click Next.
- Click the A:\ drive option to save the presentation to a floppy diskette.
- Click Next.
- Click the Include linked files.
- Click Next.
- Click the Viewer for Windows 95 or NT.
- Click Next.
- Click Finish.
- Click OK.
Printing a Presentation
- Click File on the menu toolbar.
- Click Print.
- Click the Print what down arrow.
- Choose the printing option you desire.
- Click OK.
